Senior HR & Office Administrator

We are looking for a capable and proactive Senior HR & Office Administrator to help run and grow the firm. This is a senior role with broad ownership across human resources and office operations, suited to someone who can work independently, take initiative, and bring structure and discipline to a busy professional services environment.

Responsibilities

Human Resources

  • Implement and maintain firm-wide HR policies and procedures
  • Oversee staff leave management and scheduling to ensure adequate manpower coverage at all times
  • Manage the full recruitment lifecycle, including drafting job descriptions, placing advertisements, screening CVs, coordinating interviews, and managing candidate communications
  • Manage work pass applications, renewals, and cancellations in compliance with MOM regulations
  • Administer employee benefits including medical insurance and leave entitlements
  • Maintain accurate and confidential employee records; manage staff confirmation, resignation, and offboarding processes


Office Management

  • Oversee day-to-day office operations and ensure the office runs smoothly and efficiently
  • Manage and negotiate with third-party vendors and service providers, including IT, insurance agents, and facilities management
  • Manage procurement of office supplies
  • Maintain lawyers’ practising certificates and professional indemnity insurance renewals
  • Handle ad hoc administrative matters as they arise, with a problem-solving mindset


Requirements

  • Minimum Diploma in a related field
  • At least 5–7 years of relevant experience in a professional services environment; experience in a legal setting is a strong advantage
  • Proven ability to take ownership and work independently with minimal supervision
  • Strong HR knowledge including familiarity with MOM regulations, the Employment Act, and Singapore labour law
  • Experience in recruitment, including end-to-end hiring for professional roles
  • Strong interpersonal and stakeholder management skills, with the ability to liaise credibly with lawyers, partners, external vendors, and candidates
  • Proficient in Microsoft Office (Word, Excel, PowerPoint); familiarity with legal practice management software is an advantage
  • Highly organised, meticulous, and able to manage multiple priorities in a fast-paced environment
